What we collect

What you type in

  • Your full name, email address and phone number, with the country you pick for it
  • Your Instagram handle
  • Your answers to the application questions: whether you are an online fitness coach looking to scale, how many clients you have, your average monthly revenue, what you want to improve in your business, and whether you are willing and able to invest in the founding offer
  • Whether you ticked the AI-call box, and the exact wording you were shown

What arrives with the submission

  • The time you submitted the application, the address of the page, and your browser type
  • A reference number we create for your application, so that the same application is only ever counted once
  • Campaign tags carried in the link that brought you here, if any: utm_source, utm_medium, utm_campaign, utm_content, utm_term and fbclid
  • The identifiers Meta's pixel stores in your browser (_fbp and, if you came from a Meta advert, _fbc), so an application can be matched to the advert that led to it

What we add

  • Our own note of whether your answers qualify for the founding offer, which rests on your answer to the investment question
  • Which version of the page headline you saw
  • After the call: notes, and a recording and transcript where recording is on (see Recording)

We do not ask for and do not want any special category data: nothing about your health, beliefs, or anything similar. If you put it in the free-text box, we will not use it.

What we do with it, and why we are allowed to

What we doLawful basis
If you qualify, tick the AI-call box and do not pick a time in the calendar, call you about five minutes later, using an AI assistant, to help you book your callYour consent, given by ticking the AI-call box. If you leave it unticked, no automated call is placed. You can withdraw consent at any time
Assess whether the founding offer is a fit, show you the booking calendar if it is, and send you the written agreement before anything runsSteps taken at your request before entering a contract
Email and text you about your application: a booking link if you did not book, confirmation and reminders for a call you have booked, and a reply if you ask us somethingSteps taken at your request before entering a contract
Hold your phone number so that the person you book a call with can reach you on the day, for appointment texts, and so that we can contact you if email failsSteps taken at your request before entering a contract. We do not place an automated call to it unless you ticked the box
Keep a record of your consent: the exact wording you were shown, the time you ticked it, and the number you gaveLegal obligation, and our legitimate interest in being able to show the call was lawful
Understand which adverts lead to applicationsOur legitimate interest in running a business that can afford to advertise. Where this relies on cookies or similar technology, the rules in Cookies apply

The AI-call box is optional. If you qualify, you see a calendar straight after submitting and can book your call there. If you ticked the box and have not picked a time about five minutes later, a system calls the number you gave and an AI assistant helps you find a time. It introduces itself as an assistant and says so again if you ask. You can ask for a person, hang up, or ask us to stop, at any point, and it will not count against your application.

If you leave it unticked, no automated call is placed. Your application is still submitted. You can book in the calendar, or we email you a link to book at a time that suits you. We still ask for your phone number so that whoever you book with can reach you on the day, and so that we can contact you if email fails; it is not used for an automated call.

Who else sees it

We use a small number of suppliers to run the service. Apart from Meta, they process your data on our instructions and for nothing else. We do not sell your data, and we do not share it with other coaches or agencies.

SupplierWhat they do
HighLevel (GoHighLevel)Hosts this site and the booking calendar, and is our CRM: it stores your application and runs the automation that places the call and sends the emails and texts
VapiRuns the AI assistant that speaks to you on the call
TwilioCarries the phone call and any text messages
GoogleCalendar and Meet for booking and holding the follow-up call, and Workspace for our email
MetaMeta learns that the page was viewed, that the application was opened and how far you got, that a qualifying application was submitted, and that a call was booked, together with its own identifiers, your IP address and browser details, and, for a submitted application, hashed versions of your email address, phone number and name. It does not receive your answers. Meta decides for itself how it uses that data, as its own controller
Fontshare and Google FontsServe the typefaces. Your browser sends them your IP address when it fetches the font files

Some of these suppliers store data outside the UK, mainly in the United States. Where data leaves the UK we rely on safeguards recognised under UK GDPR, such as adequacy regulations or approved contractual clauses. Email us if you would like to know which safeguard applies to a particular supplier.

Recording

Calls with the assistant may be recorded and transcribed, so that we have an accurate note of what was discussed and so that we can improve the assistant. You are told at the start of the call. You can ask for a person or ask us to stop at any point. If you would rather not be recorded, say so on the call or hang up and email us, and we will carry on by email instead.

How long we keep it

  • If you become a client: for as long as we work together, and six years afterwards for tax and contract records.
  • If you do not: two years, so that we can pick the conversation up if your situation changes.
  • Call recordings and transcripts: twelve months.
  • Consent records: for as long as we hold your data, plus one year.

If you ask us to delete your data sooner, we will, unless we need to keep some of it to meet a legal requirement or to establish, exercise or defend a legal claim. In that case we will tell you what we are keeping and why.

Your rights

Under UK GDPR you can ask us for a copy of your data, ask us to correct it, delete it, restrict what we do with it, or hand it to someone else. You can object to us using it, and you can withdraw your consent to being called at any time. Withdrawing consent does not affect anything done before you withdrew it.

Email [email protected] and we will respond within one month. There is no charge.

Complaints

If we get it wrong, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or on 0303 123 1113.

Cookies and similar technology

The application form sets no cookies of its own. For the length of your visit it keeps, in your browser's session storage, any campaign tags from the link you arrived on and a Meta click identifier built from them. It also saves your answers in your browser's local storage for up to seven days, so you can pick up where you left off; that is cleared when you submit. HighLevel, which hosts the page, may set its own standard cookies.

Meta's advertising pixel runs on every page of this site from the moment the page loads. It sets cookies in your browser (_fbp, and _fbc if you arrived from a Meta advert) and tells Meta that the page was viewed, that the application was opened and which steps you reached, and that a qualifying application was submitted. Our CRM also sends Meta a server-side copy of the submitted-application and booked-call events, with the same event identifier as the browser copy, so Meta counts each once. The server copy carries your IP address and browser details and hashed versions of your email address, phone number and name. Neither copy sends Meta your answers.

To opt out, block or delete cookies for this site in your browser settings, or use a browser or content blocker that blocks connect.facebook.net and facebook.com; the pixel then sets no cookies and sends nothing from your browser. You can also control how Meta uses data about you in your Meta ad settings. The server copy is sent when an application is submitted or a call is booked, and cannot be switched off from within this site.

Changes

If we change this notice we update the date at the top. The version live when you submitted is recorded against your application.
